Senior Manager, Technical Community Engagement and Governance - Job Summary
The Senior Manager supports volunteer-run Technical Groups and manages governance activities related to Optica's meetings portfolio, requiring strong project management and volunteer engagement.
Key Responsibilities
- Serve as governance project manager, including drafting agendas, preparing materials, generating minutes, and creating reports for board updates.
- Maintain and monitor governance action item register and follow up on completion with staff and volunteers.
- Manage ballots and approval processes for Board of Meetings and Meetings Council activities.
- Administer Steering Committees for Optica managed meetings and manage endorsed meetings requests.
- Maintain rosters and orientation materials for meetings governance committees.
- Coordinate annual Technical Group leadership meeting including agenda and presentations.
- Conduct annual Technical Group elections and implement outreach and marketing campaigns.
- Work with Technical Group leadership to develop outreach and engagement strategies using in-person and online events.
- Conduct Technical Group orientation meetings and update governance documents.
- Develop quarterly and annual reports on Technical Group activities, metrics, and goals for the Board of Meetings.
- Manage Technical Group events logistics, communication, and promotion in collaboration with internal teams and volunteers.
- Supervise the Technical Community Engagement Specialist.
- Identify and manage new meeting formats and workshop opportunities.
- Support benchmark development and measurement of Technical Group growth and effectiveness.
- Serve as Program Manager for an annual Congress when needed, managing committee liaison and program schedules.
- Collaborate with staff and departments to ensure smooth event execution.
Requirements
- Four-year college degree.
- 5-7 years work experience, preferably with a scientific society.
- Significant experience with volunteer management and committee governance.
- Strong project management skills.
- Outgoing, high energy, and collaborative approach with staff and volunteers.
- Strong written, verbal, and problem-solving skills.
- Excellent organizational skills and ability to multi-task.
- Exceptional interpersonal skills and effectiveness in a team environment.
- Willingness to travel occasionally to events and meetings.
Education
Four-year college degree
